Hey retailers: Why paying for a stocktake is usually a mistake

H

Most external stocktaking services work manually. Clipboards, hand counts, a spreadsheet sent through when they’re done. It looks thorough. It costs real money. For most independent retailers it’s the wrong tool for the job.

Your stocktake is about the operational future of your business, not merely some accounting function.

A manual stocktake is an accounting exercise for sure. It produces a stock valuation at a point in time — useful for your accountant, useless for your POS system. Your on-hand quantities stay wrong. Your reorder triggers stay unreliable. Your buying stays based on gut feel rather than what the data actually shows.

Stocktaking is an inventory management job. It belongs inside your POS software. When you count through the system, you correct the discrepancies that build up through normal trading — unscanned returns, receiving errors, theft, the odd mistake at the register. The software gets an accurate picture of what you have. That flows through to purchasing, ranging, shrinkage tracking, and the AI tools built into modern retail software.

That last point matters more than it used to. The smarter features in retail POS — demand forecasting, slow-mover flags, reorder suggestions, margin analysis — all depend on the data behind them. Accurate stock figures produce useful outputs. Wrong figures produce noise. A POS-based stocktake is one of the most direct ways to improve everything your software does.

External stocktakers aren’t always the wrong answer. If they’ll work inside your POS rather than around it, that can work fine. Ask before you book: will this improve my POS inventory data, or just give my accountant a number?

If it’s the latter, spend the money elsewhere. Train a staff member. Block out a Saturday. Count through the system you use every day. It takes more effort upfront and pays back every time your software makes a better call because it knows what’s actually on the shelf.

Get the stocktake right in your POS software and you set your business up for good decision-making and valuable portability because of this. That’s what we see in our years of service local small retail businesses.

Take your time. Do the work. reap the rewards.

Learning from a stocktake Q&A

L

Here’s a video of a stocktake Q&A with a retailer earlier this week. It’s live on our YouTube channel:

A stocktake is one of the most useful things a retailer can do. It’s also one of the most put off. This session is about both — why accurate stock data matters and how to get it done.

We recorded this on June 16, 2026, as part of the Tower Systems library of practical support for independent retailers. We cover spot stocktakes and full store stocktakes, walk through security, talk about taking a backup before you start, and draw on experience from doing stocktakes in shops we’ve owned and run ourselves. We also answer questions from a retailer thinking through what they want to achieve in their own store.

This advice works for any small business retailer, not only those using Tower Systems software. The recording is part of a broad suite of stocktake advice and tools we provide to local small business retailers, to help them get this done accurately and efficiently. The education we offer is foundational.

Accurate stock on hand data changes what you can see in your business. You find the dead stock sitting in a back room that the system still thinks is sellable. You spot the gap between what your records show and what’s physically on the shelf. You get category performance data you can actually trust. From there, your reports mean more, year-on-year comparisons hold up, and if you’re feeding stock data into AI tools, the outputs are useful rather than misleading.

Tower Systems customers can access this session through the knowledge base, the chatbot, the training video library, or directly through the help desk. Stocktaking comes up constantly in support conversations, which is why we’ve built a substantial amount of material around it. Retailers who understand stocktake well get more out of everything else the software does.

Tower Systems builds and supports POS software for local specialty retailers — newsagents, gift shops, garden centres, jewellers, bike shops, bookshops, toy shops, pet shops, produce businesses, farm supply stores, fishing shops, haberdashery, antique shops, charity retailers, and more.

Why clean stock data is the foundation for your best financial year yet

W

It is 9 June. Nine days into the final month of the financial year, and it is worth asking: how many independent retailers have turned their mind to a stocktake?

The old pressure was simple. A physical count by 30 June was a hard requirement. Accountants insisted on it, compliance drove it, and an entire industry of professional stocktakers moved from store to store making sure the stock-on-hand figure was right.

POS software changed that. As inventory tracking improved and ATO requirements evolved, the hard deadline softened. Businesses could track stock dynamically rather than count it once a year. Useful — but that shift brought a problem most retailers do not notice until it matters.

Data drift is quiet and cumulative

In a busy retail environment, stock-on-hand figures slip. A small error when receiving a supplier invoice. A return that does not get recorded. Theft, damage, shrinkage — none of it logged at the time. Each instance is minor. Over months, the gap between what your system says and what is actually on the shelf can be significant.

The compliance pressure around 30 June has eased. The cost of inaccurate data has not.

Why it matters more now

Automated reordering and AI-driven insights both depend on clean data. If your POS is making replenishment decisions against stock figures that have drifted, it is ordering against fiction. If you want AI tools to surface what is genuinely performing, the underlying data has to reflect reality. Predictive tools are only as useful as the information they work from.

This is why Tower Systems treats 30 June 2026 as a business capability date, not just a tax one.

A stocktake does not have to be an event

Tower Systems POS supports several approaches:

  • Rolling stocktakes — count a shelf, a category, or one supplier at a time
  • Sectional counting — break the shop into sections and work through it over several days
  • Full counts — complete the whole store in a single pass if that is preferred

No need to close the doors or run an overnight operation.

22 days to go

The 2026/27 financial year starts in 22 days. Retailers who go into it with verified stock data are better placed — for reordering, for reporting, for making decisions based on what is real rather than what the system guessed.

The Tower Systems support and training teams are available now. If your stock data needs attention, this is the month.

Why we are focused on stocktake in June — and what it means for your business

W

June 1 marks the start of our stocktake mission.

For the next 30 days, we are focused on helping local independent retailers get their stock data accurate and up to date. Not because stocktake is glamorous work — it is not — but because what comes after it matters enormously.

The AI opportunity is real, but it has a condition

Tower Systems POS software now surfaces AI-powered insights to help retailers make better decisions. Which lines to reorder. Where margin is leaking. What dead stock is quietly draining cash. Which categories are growing and which are fading.

These insights are genuinely useful. We see retailers using them to make smarter buying decisions, manage cash more carefully, and evolve their product mix with confidence.

But they depend entirely on one thing: accurate stock on hand data.

Feed the software clean data and it works hard for you. Feed it inaccurate data and the insights are unreliable — and unreliable insights can lead to poor decisions that cost real money.

June is the right moment

With EOFY on June 30, this month already prompts retailers to look closely at their numbers. We want to make the most of that momentum.

A stocktake done well in June delivers three things at once. Clean data for your end of year reporting. A clear picture of what to carry into the new financial year. And a foundation from which your software — and its AI tools — can actually do their job.

You do not have to count everything at once. Tower Systems makes it easy to count in sections — a category today, a supplier range tomorrow. Little and often is enough. By June 30 the data can be in good shape.

What we are doing to help

Throughout June we will be sharing practical guidance direct with our customers via email, in our private forum and in human contact on how to get the most from stocktake in Tower Systems — tips, reminders, and real examples from retailers who have done this and seen the difference it makes.

We are also here if you need support. Our team — based across Australia and New Zealand — is ready to help you through the process.

The retailers making the best use of their software are almost always the ones with accurate data. That is not a coincidence. It is cause and effect.

June 1 is the right day to start.

Laugh about stocktakes

L

As we’re heading into June, the most stocktaker tend to get done, take a moment for a laugh:

“I did a stocktake last week. Turns out I have more excuses than stock.”

“Stocktake time. The one day of the year you find out exactly how many of those have been sitting there since 2019.”

“We did the stocktake. The good news is we know exactly what we have. The bad news is we know exactly what we have.”

“Stocktake is just retail therapy in reverse. Instead of buying things you don’t need, you count things you forgot you had.”

“Asked the team to help with stocktake. Suddenly everyone had a appointment.”

Yes, they are lame, but they are the jokes we have.

Stocktaking is valuable work, serious work. get it right, and you profit. Ignore it, and you for sure lose money.

Beyond the jokes, focus on thew rock and profit!

Here at Tower Systems we can help.

The joke we like is:

We did the stocktake. The good news is we know exactly what we have. The bad news is we know exactly what we have.

Every retailer has been there. The stocktake does not lie — and that is exactly the point. Start with your highest-value categories, or the ranges you are least sure about. Count them, update Tower Systems, and run a dead stock report. What comes back might surprise you. One retailer found $20,000 worth of stock they had forgotten about. Clean data changes what you can see — and what you can act on.

Garbage In, Garbage Out: How to Know if Your Retail Stock Data is Actually Accurate

G

A POS system reflects what you put into it. Feed it bad data and every report it produces is wrong. That might sound obvious, but in a busy retail environment — where stock arrives daily, staff turn over, and returns pile up — inventory data degrades faster than most retailers realise.

Poor data costs real money. It means stockouts on best-sellers, cash locked up in product that will not move, and numbers you cannot make decisions from. You do not have to guess whether your stock-on-hand figures are right. There are practical ways to check, and the right tools make staying accurate far less work than most people expect.

The stocktake: still the gold standard

Nothing confirms inventory accuracy like a physical count. Closing the shop for a full weekend count is not necessary anymore.

Tower Systems supports targeted rolling stocktakes on a specific shelf, category, or supplier group. Run them during quiet trading periods — before opening, after a delivery, or during a slow mid-week afternoon. Small, frequent counts catch discrepancies early, before they distort your buying decisions and margin reports. A full-store stocktake a couple of times a year, combined with regular section counts, gives you a solid base to work from.

Stop errors at the back door: AI invoice import

A lot of bad retail data enters at inward goods. Manual entry of cost prices, supplier codes, and product descriptions from paper invoices introduces typos. Every time. It is not a staff problem — it is a process problem.

Tower Systems has an AI Invoice Import tool built directly into the software. It reads digital PDFs, spreadsheets, supplier accounting exports, and even photos of printed invoices, then matches items and imports the data without manual entry. Fewer keystrokes means fewer mistakes, and fewer mistakes means stock counts you can trust.

Two daily habits that hold it all together

Systems help, but discipline matters too.

Track every sale individually. Generic open-department keys destroy stock counts over time and make category reporting worthless. Process returns at the time they happen — scanning them back in later means the numbers are wrong in the gap, sometimes for days.

Neither habit takes long. Both make a material difference.

The bottom line

Every manual entry is a risk. Every workaround compounds the problem. Rolling stocktakes and automated invoice importing reduce human handling of data, and less handling means fewer errors. When the data is right, you buy better, you waste less, and your reports tell you something useful.

Ensuring Accuracy in Retail Business Sales: The Critical Role of POS Software in Stock Valuation

E

Navigating the complexities of small business retail ownership transfer demands meticulous attention to detail, particularly regarding the valuation of stock on hand. A common and flawed practice  is the reliance on external stocktaking firms to determine stock value, separate from the primary Point of Sale (POS) and inventory management software, such as the Retailer POS software from Tower Systems. This approach is frequently fraught with inaccuracies, presenting significant challenges for both the vendor and the purchaser.

Calculating stock value outside of the POS software introduces inherent risks based on assumptions. The resulting figures may not accurately reflect the true cost of goods, often ignoring critical financial variables such as settlement discounts, volume rebates, and various other off-invoice price adjustments. This oversight can materially skew the stock valuation, leading to an unfair or inaccurate sale price.

Too often we see these problems.

A far more robust and professional methodology involves performing the pre-settlement stocktake directly within the Retailer software. This action serves a dual purpose: it provides the most accurate and verifiable valuation for the vendor and, crucially, establishes the new owner with a foundation of precise, reliable inventory data from the outset. Leveraging the Retailer system in this manner also facilitates an accurate assessment of genuinely ‘dead stock’. A discerning buyer will, and should, negotiate the value of non-performing inventory, refusing to pay full wholesale price for items unlikely to sell. The software’s integrated data provides the objective evidence necessary for these critical negotiations.

It’s important to acknowledge that the integrity of this process hinges on the quality of the cost price data held within the inventory system. If the cost prices recorded in the Retailer software are inaccurate, the resulting stock valuation will also be compromised. Maintaining data hygiene—ensuring cost prices are consistently and correctly updated—is solely the responsibility of the business owner. Failure to do so renders the inventory data unreliable, irrespective of the software’s capabilities.

The importance of accurate stock-on-hand data is frequently underscored when new owners find their acquired business underperforming relative to expectations. In such scenarios, the validity of the initial stock valuation often becomes a point of contention, sometimes escalating to require expert evidence concerning the underlying data. The most straightforward solution to mitigate such disputes and ensure a seamless, professional transition is simple: complete the official stocktake using the embedded functionality of the Tower Systems Retailer POS software. This establishes an irrefutable, data-driven basis for the stock value, benefitting all parties involved.

Stocktakes

S

Here’s advice from us about stocktaker for local small business retailers.

While our POS software offers stocktake features for fast and accurate inventory counting, a full end-of-financial-year stocktake isn’t always necessary. If you maintain disciplined retail operations, you can often forego it. Here’s how:

  • Track incoming inventory at arrival: Use electronic supplier invoices or software-generated order files for easy recording.
  • Track all sales at the point of sale: Scan every item sold.
  • Track all returns at the point of return: Scan items returned to suppliers or written off.
  • Conduct spot stocktakes: Regularly check sections of your store to monitor for potential theft.

Consistent and accurate execution of these steps provides a stock listing, equivalent to a stocktake, suitable for financial and tax purposes.

This daily, consistent stock management approach eliminates the need for a large end-of-year stocktake, saving time, labour costs, and providing more accurate data.

Traditional stocktakers may disagree, but their manual processes can be inaccurate. With effective management practices, their services become unnecessary.

For those who prefer stocktakes, our POS software simplifies the process. It offers features to save time and provide up-to-date inventory information.

Instead of a full store stocktake, consider a rolling stocktake, where you count sections of the shop at your convenience. This can provide more accurate data at a lower labour cost.

Our POS software allows you to stocktake specific areas, such as a shelf, aisle, or individual item, as well as the entire store.

Focus on high-turnover or high-risk items during sectional stocktakes, and schedule them to suit your staffing. This can be more cost-effective than hiring extra staff for a single large stocktake.

Based on our experience with thousands of Australian retail businesses, rolling stocktakes are often more efficient and financially beneficial, and can provide early indications of theft.

Effective POS software offers stocktake flexibility, maximising value for your business.

Quick Stocktake Questions (Tower Systems Software):

  • Can my shop remain open during a stocktake? Yes.
  • Can I pause and resume a stocktake? Yes.
  • Can I use multiple terminals for stocktaking? Yes.
  • Can I use a handheld PDE or PDA? Yes, many brands are supported.
  • Can I use a laptop? Yes.
  • How long does it take? Depends on your products, layout, and staff training. Time typically improves with practice.
  • How often should I stocktake? Annually for a full stocktake, or weekly for rolling stocktakes.
  • Do you offer training? Yes, we provide self-serve and one-on-one training options.

If you’re considering an end-of-year stocktake, explore implementing changes that could eliminate this requirement.

Stocktakes can be a thing of the past in your shop.
