Farm accounts on 30-day terms. How do you stop carrying the district?

F

Account trading is normal in this channel. It is also where independent produce and stockfeed businesses quietly get into trouble.

Terms are 30 days. Reality is longer. Seasons are hard, relationships are long, and nobody wants to be the person who chases a fourth-generation customer over an invoice. So the balance drifts, and the business funds it.

The problem is rarely goodwill. It is visibility. If statements go out late, and nobody can see at a glance who has moved from 30 days to 60, the drift stays invisible until it is large.

Our Tower Systems produce / farm supply / stockfeed software manages customer accounts properly. Charges go on the account at the counter. Statements are produced and sent on time. Ageing is visible, so the balance can be read by period rather than as one number. A customer trending the wrong way is easy to spot while the amount is still small.

Some practical points for any produce or stockfeed business reviewing this.

Statements sent on time change behaviour on their own. Many businesses find that consistency alone shortens average collection time, before anyone makes a phone call.

Credit limits are worth setting even where there is no intention of enforcing them hard. A prompt at the counter is easier than a conversation later.

Account trading data is customer data. Who buys what, how often, and in what season. That is useful for far more than collections.

The accounts side also needs to reach the bookkeeping without being keyed twice. The software integrates with Xero, MYOB and QuickBooks, so account activity flows through rather than being re-entered.

Cash flow in this channel is seasonal and always will be. The goal is not to become hard. It is to know exactly where the business stands, early enough to act.

If accounts are running longer than terms, send Tower Systems a note on how statements and follow-up are handled today. The answer on whether the software is a good fit will be honest. If it is not a fit, that will be said plainly.

Tight Cash Flow? Your POS Data Can Help Turn It Around

T

Cash flow pressure is a common challenges in small business retail. Bills arrive on their own schedule, stock has to be paid for before it sells, and a quiet few weeks can tighten things quickly. The instinctive response is often to look outward, to an overdraft or a supplier extension. Yet for many retailers, the most useful tool is already in the business: the data sitting inside the point of sale system.

Stock is cash on a shelf

We think it helps to remember that stock is not separate from cash. It is cash, converted into product, waiting to convert back. How well that stock moves shapes the financial health of the whole business. Money tied up in lines that sell slowly is money that cannot be used anywhere else, and a shop can look busy while its cash quietly sits still on the shelves.

The first step to easing cash flow pressure is therefore not borrowing more. It is seeing clearly where the cash is held and how hard it is working. That clarity comes from good information, and good information comes from a POS system that captures and reports on every sale.

Turning data into decisions

Tower Systems turns everyday trading into exactly this kind of insight. Its reporting shows which products sell quickly and which sit for too long. That single view changes how a retailer buys. Instead of reordering out of habit, a retailer can favour proven performers and steadily reduce the dead stock that drains cash.

Automated reordering supports this discipline. It helps keep the right lines in stock at the right level, so a business avoids both empty shelves and over-committing to product that will not move. The aim is a leaner, faster-moving range where more of the cash is active rather than parked.

AI-enabled insights take this a step further by translating the numbers into plain, practical guidance. Rather than leaving a retailer to interpret spreadsheets, the software points to where attention is likely to pay off, making the data useful even on a busy trading day.

Small decisions, real results

Improving cash flow rarely comes from a single dramatic move. It comes from a series of small, informed decisions repeated over time. Freeing cash from slow stock, tightening ordering, and backing the lines that genuinely earn their place all add up.ge 6

A retailer might identify a category that has quietly tied up cash for months and decide to clear it and not reorder. Another might notice a strong performer that keeps selling out and make sure it is always in stock, capturing sales that were previously lost. Each decision is modest on its own. Together, over a season, they can meaningfully change the cash position of a business.

Getting started

The good news is that most retailers already have the raw material they need. Every sale recorded is a small piece of information about what customers want and how cash is flowing. The task is to put that information to work.

A practical starting point is to review stock performance regularly, at least monthly, and act on what the data shows. Slow lines are marked for clearance. Fast lines are protected. Ordering is adjusted to match real demand rather than assumption. Over time, this rhythm becomes second nature, and the business runs leaner and stronger for it.

Here’s the point

Cash flow pressure is real. We see it every day when working with small business retailers. In our experience, the clearest path runs through the data a retailer already holds. Used well, it reveals where cash is trapped and where it is working, and it guides the everyday decisions that steadily improve the position of the shop.

Tower Systems helps specialty and independent retailers use their own data to manage cash flow with confidence, through clear reporting, automated reordering and AI-enabled insights. Advice for retailers: The numbers that warn you before the bank balance does

A

By the time the bank balance looks wrong, the trouble started weeks back. Money in the account is a lagging number. It tells you what already happened, not what’s about to. Run a shop on the bank balance alone and you’re forever finding out too late to do much.

The early warnings live in the trade, not the account. They turn up small, and they turn up first, if you know where to look.

We have been asked for help by many small business retailers where this is the case. We’;re not accountants or business consultants but day to day we do get into discussions with retailers and we help where we can, drawing on our experience in retail from years back and the support we offer today with our POS software.

One is basket size easing off. People still coming in, still buying, just spending a bit less each time. The day’s total holds for a while because the traffic covers it, right up until it doesn’t. Spot the slip while it’s small and you’ve got room to move.

Another creeps in through how often people come back. A regular who was in twice a week is now in once. Weekly becomes fortnightly. No single customer tells you anything, and that’s the trap, because the ones drifting off are the ones you stop noticing. Put them all together and it’s a trend you needed to see a month ago.

Then a category goes quiet while the busy parts of the shop cover for it. The overall figure looks fine. Underneath, something you lean on is fading, and you won’t feel it in the takings until it’s well down the track.

The catch is that finding any of this means running reports, lining up one period against another, and knowing what you’re hunting for in the first place. Most retailers haven’t got the time. Plenty were never shown how. So the warnings just sit in the data until they finally show up as a number too big to miss.

That’s the gap the Insights Dashboard closes.

It’s a business intelligence dashboard, free to every Tower Systems customer. It uses smart AI tools and a good deal of built-in retail know-how to watch your trade as it happens and tell you what’s worth knowing, the good and the bad. You don’t run a report. You don’t go digging. The insights are curated as the day goes on, kept fresh, and sitting there when you look.

So the slipping basket, the lengthening gaps between visits, the category drifting off the boil, it all surfaces on its own, while there’s still time to act. You get to spend your attention on the decision instead of the digging.

For a small shop that’s what business intelligence ought to be. Not one more report to find an hour for. Something keeping watch on the trade and tapping you on the shoulder while the warning is still early enough to use.

The retailers who get ahead aren’t drowning in data. They just catch the right thing at the right time. The Insights Dashboard puts that in reach of any retailer, free, and built into the software you’re already running.

POS software advice: It’s EOFY. A few things worth doing today.

P

End of financial year is here. It always seems to sneak up, and then it’s a scramble. An hour today saves you a fortnight of it later.

First up though, take a moment, breathe. You made it through another financial year!

Run your stock listing. You want an accurate, properly valued picture of what’s on the shelves as at today. Your accountant will want it too, and pulling it together now is far easier than reconstructing it in August. If you’ve got time for a stocktake, even across just your bigger categories, do it.

Take a special backup. Capture your year-end position and keep that one separate from your daily backups. Our latest software does this for you, so if you’re on it, that box is ticked. Still worth a glance to confirm it ran.

Then there’s dead stock. Today is a good day to be honest about what isn’t selling. Stock that’s sat untouched for months isn’t an asset, it’s a shelf you’re paying for. Mark it down, bundle it, run a clearance, or send it back if your supplier takes returns. Shifting it helps your closing figure and gives you cash and room for the new year. Your POS reporting will tell you exactly what’s been dragging.

While you’re at it: reconcile your supplier accounts, chase up any laybys and outstanding customer accounts, and have a look at your best and worst sellers for the year so it feeds your buying. Tidy your loyalty data too. And if you can still get your accountant on the phone today, take the call now rather than after the books close.

One note. We are not accountants. Treat the tax side of this as a reason to ring yours, not advice from me.

Do the basics today and 1 July starts clean.
