News from Tower Systems about locally made POS software for specialty local retailers.

Tagemployee theft

Your POS software does what you tell it. That is the problem.

Y

Good POS software is flexible. It has to be, because no two retail businesses run the same way. But flexibility cuts both ways. The same setting that suits one shop can quietly cost another shop thousands.

Selling by department key is the clearest example we see.

Our Tower systems POS software lets you sell by department, without scanning individual items. There are situations where that makes sense. A shop selling one-off, unbarcoded items, where stock control adds no value, can reasonably ring sales through a department key and move on.

Most retail businesses are not that shop.

When you sell by department key instead of scanning each item, you give up visibility of stock movement. You cannot see what actually sold, only that something sold for a dollar value in a category. You cannot see what should be on the shelf. Which means you cannot see what is missing.

That is where theft hides. Customer theft and employee theft both thrive in businesses that do not scan, because nobody can prove what walked out the door. Owners in this situation often discover the problem months or years later, usually when the numbers stop adding up in a way too big to ignore. By then the money is gone.

Scanning every item at the point of sale is the foundation everything else is built on. Theft reduction. Accurate reordering. Knowing your fast sellers and your dead stock. Faster serving at the counter. Sales data you can actually make decisions with. Sell by department key and you pay for all of those benefits without receiving any of them.

Here is the uncomfortable truth: when this goes wrong, the software is not the problem. The software is doing exactly what it was told to do through settings the business owner controls. We built the tools for proper item-level retail management. Whether they get used is a decision made in each shop, every day, at every sale.

The good news is that bad settings are fixable, usually quickly. If your business is selling by department key, or scanning some items and not others, talk to us. We will review how you are using the software, show you what visibility you are missing, and help you tighten it up.

We have seen what unscanned retail costs. We would rather help you avoid it.

We are here to help, with practical support for local independent retailers.

In retail, when the boss steals, staff learn to steal

I

Years ago we helped a retailer investigate an employee theft problem. Using encrypted transaction data from their POS software, we isolated the days and times where discrepancies were appearing, matched them against the roster, and identified the most likely person. When confronted, the employee admitted to taking around $20 a day.

The reason they gave was not what the owner expected.

The boss took cash from the till for lunch. So they did the same.

The idea of stealing hadn’t occurred to them independently. They watched the owner take money from the register without ringing it through and drew a straightforward conclusion: this is normal here.

The owner hadn’t thought of it as theft. A few dollars for lunch — their business, their money. But watched by a staff member, it looked exactly like what it was: taking cash without processing it.

That’s one of the harder things to sit with in small business retail. The standards your team follows aren’t the ones written down anywhere. They’re the ones you demonstrate every day, on the floor, in front of people who are paying more attention than you think.

Handle cash loosely and some staff will handle it loosely. Take shortcuts on process and some staff will take the same shortcuts. Not everyone, and not immediately — but you’ve shown them it’s acceptable, and that’s enough.

The practical response isn’t complicated. Run every transaction through the system, your own lunch included. Pay yourself properly rather than dipping into the till. Use your POS the way you expect your staff to use it. And when something looks off in your data, investigate it — not assuming the worst, but not ignoring it either.

The encrypted transaction data in this case did its job. It gave the conversation a factual basis rather than an accusation, which matters both for resolving the situation and for treating the employee fairly.

But the real problem wasn’t the employee. It was what the owner had been quietly teaching them for months without knowing it.

In our POS software we have tools available for early detection of employee theft, tools many retailers have used to catch theft earlier than they otherwise might.

Retail Theft Is Often Costing Local Retailers More Than They Think

R

Most small business retailers underestimate how much theft is costing them. Not because they are naive, but because the losses rarely announce themselves. Stock shrinkage accumulates quietly. Cash discrepancies get explained away. Time theft goes untracked entirely. By the time the problem becomes visible, it has usually been running for months.

Another factor is a readiness to look away rather than confronting an uncomfortable truth.

Retail theft is a consistent financial drain on independent small businesses in Australia. The businesses most at risk are often those that feel too small or too close-knit for it to happen to them.

It Is Not Always a Stranger

Customer theft gets the most attention. Security cameras, product locks, and store layouts are all designed with the external threat in mind. But employee theft is statistically just as significant, and far harder to detect without the right tools. It does not always look like cash taken from the register. It can be stock walked out the back door, discounts applied to personal purchases, refunds processed against non-existent returns, or hours logged that were never worked.

None of these show up on a security camera. They show up in your data — if you know where to look.

Here at Tower Systems we shine a light on retail theft to help local retailers lose less in theft.

Our retail experience helps us serve retailers in this space.

Your POS System Already Has the Answers

A well-configured point of sale system captures every transaction, every discount, every void, every refund, and every login. That data tells a story. Unusual patterns in any of those categories — a staff member who voids more sales than their colleagues, a till that reconciles short on the same shift rotation, a product category with unexplained shrinkage — are signals worth investigating.

Most retailers use their POS software to process sales. Fewer use it to protect the business. The intelligence is already there. It simply needs to be reviewed regularly, not just at the end of a financial year when the damage is done.

Policy Matters As Much As Technology

Data alone is not enough. A clear, written theft policy sets expectations before a problem occurs. Every team member should understand what constitutes theft, what the consequences are, and that the business monitors its data actively. This is not about creating a culture of suspicion. It is about creating a culture of accountability — one where the people doing the right thing feel protected, and those considering otherwise understand the risk.

Stop Waiting for the Annual Audit

An annual stocktake or financial audit is not a theft detection strategy. It is a damage assessment. By the time those numbers surface, a sustained theft problem may have cost tens of thousands of dollars. Regular review — weekly till reconciliation, monthly stock variance checks, and consistent POS reporting — turns detection from an annual event into an ongoing discipline.

The Businesses That Stay in Control

The retailers who manage theft well share a few things in common. They use their POS data actively. They have a policy in place. They do not wait for obvious signs before acting. And they understand that protecting revenue is just as important as generating it.

Tower Systems builds point of sale software for independent specialty retailers across Australia and New Zealand. Our software includes the reporting and audit tools to help you stay across your business — every day, not just once a year.
