AI supplier invoice importing: help for retailers when a file will not load

A

Supplier invoices do not always arrive in the same format. One supplier sends a PDF, another provides a CSV file, and a third sends a scanned document saved as a PDF. For a busy retailer, the differences may only become apparent when an import does not work as expected.

The AI supplier invoice import tools in our POS software support PDFs, scanned PDFs and CSV files. When a particular file causes trouble, sending it to support gives the team something specific to investigate.

A PDF created directly from a supplier’s system is different from a scan of a printed invoice. They may look similar when opened on screen, but the information inside them is presented differently.

Scanned documents can also be imported. A setting may need to be selected so the AI import process knows it is dealing with a scanned document rather than a standard PDF.

That distinction is worth checking before assuming the invoice cannot be used. It can also save a retailer from repeatedly trying the same approach without changing the underlying setting.

CSV files are supported too. Retailers do not need to assume that AI invoice importing is limited to PDF documents.

The supplier’s original file gives support something specific to investigate. Explaining that an invoice will not import is a starting point, but seeing the document helps the team understand what the import process is encountering.

Retailers can include the error message, if there is one, and a brief explanation of what happened. It is also useful to say whether invoices from that supplier have imported successfully before.

The appropriate next step depends on the file and the software setup. The help desk can examine the example and advise, rather than leaving the retailer to guess which setting might make a difference.

Successful importing should still be followed by a sensible check of the resulting information. Quantities, product matches and prices matter, regardless of how the information entered the system.

For independent retailers, this is a practical use of AI: assistance with a routine administrative job, with human support available when an exception needs attention. It is not a reason to stop checking important business information.

Retailers having trouble with a supplier invoice can email the file to support@towersystems.com.au with a short description of the issue. The original document is often the most useful place to start.

Retailer AI: what the time savings are actually worth

R

Small business retailers using the Retailer AI tools built into the Tower Systems POS software report saving between five and ten hours a week. That is a substantial claim, so it is worth putting dollars against the hours and showing where they come from.

At a staff cost of $35 an hour, five hours a week is $175, or $9,100 a year. Ten hours is $350 a week and $18,200 a year. Even at the bottom of that range, the saving covers the software cost.

Hours are only the visible part. The time comes back to the owner, or it goes to the shop floor where people sell things.

Supplier invoices are the single biggest saving, typically three to five hours a week. The manual version is typing invoices line by line, checking cost prices and setting retail prices. The Retailer AI version is dragging the supplier’s PDF or spreadsheet into the software, which extracts the lines, matches quantities, updates costs and prepares the stock arrival in seconds.

Business insights save another two to three hours. Rather than exporting reports and hunting for trends late at night, a retailer runs any standard report and clicks AI Insights. The software answers in plain English: which margins moved, what stock is dead, what deserves attention.

Product descriptions save one to two hours for retailers selling online, with titles, descriptions and blog copy drafted ready for Shopify, WooCommerce or Magento. Reordering and market price comparison round the list out.

Then there are the savings nobody can put on a timesheet. Retailer AI flags unusual voids, no-sale drawer opens, price overrides and refund patterns, which are the early signs of internal theft. It also cross-references stock counts against expected levels to show which categories keep losing stock. Shrinkage rarely announces itself. This does.

Retailer AI is embedded in the platform and draws on leading models including Anthropic’s Claude, Google’s Gemini and ChatGPT. It is built for the specialty retail Tower Systems serves, including bookshops, garden centres, jewellers, pet shops, toy shops, produce businesses and firearms dealers.

“We cut supplier invoice entry by 8 hours a week. That is a full business day back, every week.” — rural supply store, Queensland

“Retailer AI saves us 10 hours every week on stock arrivals and inventory admin alone.” — Shane, Pets R Us, Raymond Terrace NSW

The quickest way to test any of this is with your own paperwork. A fifteen minute demonstration will process actual supplier invoices in front of you.

Further AI tools are in development, with details to follow closer to release.

Free AI POS software support at 11pm: the Tower Systems chatbot

F

Questions do not keep business hours. A retailer reconciling at the end of a long day, or setting up a new supplier at ten o’clock at night, needs an answer then. Not the following morning.

The AI chatbot on the Tower Systems website sits in the bottom left hand corner of every page. Clicking the box opens it. From there, it is a conversation.

What separates it from general purpose AI tools is what it has been trained on. The chatbot is trained only on Tower Systems software and the company’s own documentation. It does not roam the internet and it does not invent answers. When it does not know something it says so, and it makes clear how to reach a human. That constraint is deliberate, and it is the reason the answers can be relied on.

The usage patterns have been telling. People are asking questions at nine, ten and eleven o’clock at night. One user worked through seven or eight questions in a single session, building on each answer as they went.

The scope is broader than software mechanics. Rather than only explaining which button to press, the chatbot offers context and helps with the decision sitting behind the question. One retailer described a tough trading period and received useful business advice in response.

It is also not generic. It was built for the channels Tower Systems serves: jewellers, garden centres, bike shops, newsagents, bookshops, pet shops, toy shops, music shops, camping and outdoors businesses, fishing businesses and firearms dealers. The advice reflects those specific trading realities.

More than forty languages are supported, which matters in Australian and New Zealand retail. The chatbot is available twenty four hours a day, seven days a week, at no cost, to anyone who visits the site.

It sits alongside the Retailer AI tools inside the software itself, where retailers report saving between five and ten hours a week on supplier invoices, insights, product descriptions and reordering. What those hours are worth in dollars is a story for its own post.

Human support has not gone anywhere. The chatbot simply means the wait is optional.

The Lincraft story and what small business retailers can learn

T

The Lincraft closure made news last week. Eighty years, every store, gone. It’s the kind of story that sits with you if you’ve been in retail long enough to remember when chains like that felt permanent.

We know it hit small business retailers because of conversations we have had since the news broke.

It’s not the whole retail story, though.

The independent retailer who had their best April in three years won’t make the news. Neither will the gift shop owner who spotted a new category gaining ground and moved on it before the season. These things are happening. We see them in the data.

The difference between retailers finding growth and those feeling stuck usually isn’t location or foot traffic or product range. It’s whether they’re looking at their data. Good data, understood and acted on, is the foundation underneath every independent retail success story we see.

Your POS data knows things you don’t. It knows which supplier is quietly underperforming while a newer one gains ground. Which category is lifting your average sale value. Which days your margin is strongest. What your best customers are buying that your average customers aren’t.

The Tower AI tools are built to surface exactly that — the things not sitting in front of you. Not the obvious wins you already know about. The patterns buried in twelve months of transaction data that you won’t catch on a busy Tuesday. A product that’s been growing 15% month on month and still hasn’t made your reorder list. A margin opportunity in a category you’ve been pricing conservatively out of habit rather than intention.

A chain waits for a report from head office. You can act on your data this week, before the next order goes in. That gap is real and it matters.

The pressures Lincraft cited are real too. Changing consumer behaviour, rising costs, overseas competition — none of that is going away. But the response isn’t to carry the weight of the industry headlines. It’s to look inside your own business and find what’s working.

Green shoots don’t announce themselves. They show up as a slow climb in basket size, a category quietly outperforming its shelf space, a customer type coming back more often than they used to. Your data has already found them.

If you haven’t spent time in the Tower reporting and AI insights tools recently, start there. Not with a big strategic review. Just one question: what’s growing in my business right now that I haven’t noticed yet?

The answer is probably already there.

Yes, AI Analytics Can Help Independent Retailers Predict Trading Patterns and Optimise Staff Rosters

Y

Retailers in Australia are asking: Can AI analytics realistically help an independent retail store predict weekly trading patterns and optimise staff rosters to save on wages?

The short answer is yes, and it is.

Tower Systems includes an Insights Dashboard inside its point of sale software, available to every customer at no extra cost. It uses AI to surface the trading patterns, performance gaps, and operational insights that directly inform decisions like staff rostering, buying, and floor management. No additional subscription. No data export. No analyst required.

The Problem It Solves

Independent retailers are time-poor. Running reports, collating data across weeks or months, and then interpreting what it means is work that rarely gets done — not because owners do not care, but because the day gets in the way. The result is that most rostering decisions are made on instinct and habit rather than data. Most buying decisions follow the same pattern.

That is an expensive way to run a business. Wages are typically one of the largest controllable costs in retail. Scheduling too many staff during slow periods and too few during peak ones compounds quickly across a year.

What the Insights Dashboard Delivers

The Tower Systems Insights Dashboard answers six questions that matter operationally and strategically:

  • What is working?
  • What is not working?
  • What am I missing out on?
  • Is theft an issue?
  • What sells with what?
  • When am I busiest?

That last question is the one most directly relevant to rostering. Knowing precisely when your store is busiest — by hour, by day, by week — removes the guesswork from scheduling. You roster to actual demand rather than assumption. For most retailers, that alone recovers meaningful wage cost across a year.

The others matter just as much strategically. Knowing what is working tells you where to invest. Knowing what is not working tells you what to stop. Knowing what you are missing out on surfaces the opportunities your current buying and ranging decisions are leaving on the table. Basket analysis — what sells with what — informs placement, bundling, and promotional decisions that lift average transaction value.

No Report to Run

The Insights Dashboard surfaces all of this immediately, without setup. There is no report to configure, no data to collate, no spreadsheet to build. A retailer opens the dashboard and the insights are there — drawn from their own trading data, interpreted by AI, and presented in plain language.

This is what practical AI looks like for an independent retail business. Not a complex integration project. Not a new platform to learn. A clear set of answers to the questions every retailer is already asking, available inside the software they use every day.

Built for Independent Specialty Retail

Tower Systems builds and supports POS software for independent specialty retailers across Australia and New Zealand — including newsagents, bookshops, jewellers, garden centres, bike shops, toy shops, pet shops, farm supply businesses, fishing shops, sewing and haberdashery stores, antique shops, charity businesses, and more.

The Insights Dashboard is included in every Tower Systems subscription. To see it in action or to discuss how it applies to your business, call 1300 662 957 or email sales@towersystems.com.au.

Retail Data is More Valuable Than Most Small Business Retailers Think

R

Most independent retailers, small business retailers,  think of their point of sale software as a tool for processing sales and printing receipts. That view is increasingly out of date.

The way consumers discover and buy products is changing faster than most small business owners realise. AI-powered search, conversational commerce tools, and new technical standards like the Universal Commerce Protocol are reshaping how product data flows between retailers, platforms, and customers. In this environment, the quality of your retail data is a direct competitive advantage.

Start with your stock file. If your inventory data is inaccurate — wrong quantities, missing descriptions, outdated pricing — that problem does not stay contained to your stockroom. It flows through to your e-commerce platform, your AI search visibility, and ultimately the decisions you make about what to buy and what to drop. An accurate stocktake before 30 June is not just a compliance task. It is the foundation everything else depends on.

Your e-commerce presence matters more than ever. Shopify and similar platforms are actively adapting to emerging AI commerce standards. But a Shopify store only performs well when it is fed clean, structured data from a POS system that integrates properly. A patched-together connection between your in-store and online operations creates gaps — gaps where sales fall through and where your products fail to surface in the channels your customers are now using.

The Universal Commerce Protocol formalises this further. UCP is designed to create a common language between platforms, AI agents, and retailers. It sounds technical, and it is. But the practical implication for independent retailers is simple: the businesses with well-structured product data, connected systems, and accurate inventory will be discoverable. Those with messy data, siloed platforms, and outdated stock files will not.

None of this requires a large budget or a technology team. It requires a POS system built for independent retail, a genuine Shopify integration, and the discipline to keep your data clean.

Tower Systems has been building point of sale software for independent Australian retailers for over 40 years. The tools are there. The question is whether your data is ready to do the work you need it to do.

Why we are focused on stocktake in June — and what it means for your business

W

June 1 marks the start of our stocktake mission.

For the next 30 days, we are focused on helping local independent retailers get their stock data accurate and up to date. Not because stocktake is glamorous work — it is not — but because what comes after it matters enormously.

The AI opportunity is real, but it has a condition

Tower Systems POS software now surfaces AI-powered insights to help retailers make better decisions. Which lines to reorder. Where margin is leaking. What dead stock is quietly draining cash. Which categories are growing and which are fading.

These insights are genuinely useful. We see retailers using them to make smarter buying decisions, manage cash more carefully, and evolve their product mix with confidence.

But they depend entirely on one thing: accurate stock on hand data.

Feed the software clean data and it works hard for you. Feed it inaccurate data and the insights are unreliable — and unreliable insights can lead to poor decisions that cost real money.

June is the right moment

With EOFY on June 30, this month already prompts retailers to look closely at their numbers. We want to make the most of that momentum.

A stocktake done well in June delivers three things at once. Clean data for your end of year reporting. A clear picture of what to carry into the new financial year. And a foundation from which your software — and its AI tools — can actually do their job.

You do not have to count everything at once. Tower Systems makes it easy to count in sections — a category today, a supplier range tomorrow. Little and often is enough. By June 30 the data can be in good shape.

What we are doing to help

Throughout June we will be sharing practical guidance direct with our customers via email, in our private forum and in human contact on how to get the most from stocktake in Tower Systems — tips, reminders, and real examples from retailers who have done this and seen the difference it makes.

We are also here if you need support. Our team — based across Australia and New Zealand — is ready to help you through the process.

The retailers making the best use of their software are almost always the ones with accurate data. That is not a coincidence. It is cause and effect.

June 1 is the right day to start.

Laugh about stocktakes

L

As we’re heading into June, the most stocktaker tend to get done, take a moment for a laugh:

“I did a stocktake last week. Turns out I have more excuses than stock.”

“Stocktake time. The one day of the year you find out exactly how many of those have been sitting there since 2019.”

“We did the stocktake. The good news is we know exactly what we have. The bad news is we know exactly what we have.”

“Stocktake is just retail therapy in reverse. Instead of buying things you don’t need, you count things you forgot you had.”

“Asked the team to help with stocktake. Suddenly everyone had a appointment.”

Yes, they are lame, but they are the jokes we have.

Stocktaking is valuable work, serious work. get it right, and you profit. Ignore it, and you for sure lose money.

Beyond the jokes, focus on thew rock and profit!

Here at Tower Systems we can help.

The joke we like is:

We did the stocktake. The good news is we know exactly what we have. The bad news is we know exactly what we have.

Every retailer has been there. The stocktake does not lie — and that is exactly the point. Start with your highest-value categories, or the ranges you are least sure about. Count them, update Tower Systems, and run a dead stock report. What comes back might surprise you. One retailer found $20,000 worth of stock they had forgotten about. Clean data changes what you can see — and what you can act on.

June is the month. Start today. towersystems.com.au
