Is your shop haunted?

I

Halloween has crept up on Australian retail. When we started out, 31 October was just another day. Now there are costumes in the shops, plastic skeletons in the garden centre and kids at the door expecting lollies.

The things that actually scare us in a shop don’t wear costumes, though. They hide in the stockroom and the supplier invoices, and some of them have been there for years.

Ghost stock

The system says you have four. The shelf says none. Nobody sold them, or at least nobody rang them up.

Ghost stock is sneaky because your POS won’t reorder something it thinks you still have. So the gap stays on the shelf, and a customer asks for it on a busy Saturday. Count your fast sellers every few weeks rather than waiting for the annual stocktake to give you a fright.

Zombie stock

Every shop has a few lines that won’t die. They’ve been on the shelf so long they’ve faded. You walk past them every day and stop seeing them.

Run a report of anything that hasn’t sold in 90 days. It’s rarely pleasant reading. Discount it, bundle it with something that sells, or send it back if the supplier will take it. That space and that cash are worth more doing something else.

Vampire costs

This one drains you slowly. A supplier puts a line up by 40 cents, then another goes up by a dollar. Nobody tells you, and the new price sits quietly on the invoice.

I’ve seen retailers absorb increases for six months without noticing. Check invoices against your cost prices when stock comes in, and adjust the sell price that day while you’re thinking about it.

The haunted till

The drawer opens and there’s no sale. A refund appears with no receipt. Usually there’s a boring explanation. Every so often there isn’t.

Your void, refund and no-sale reports will tell you who, when and how often. You don’t need to be suspicious of your team. You just need to look now and then.

The witching hour

It’s 6.15pm. The door is locked, your feet hurt, and you still need to balance the day. If that takes an hour with a calculator and a shoebox of dockets, your system is letting you down. It should take ten minutes.

Skeleton staff

Three people on a dead Tuesday morning and two on a flat-out Saturday afternoon. Most rosters are built on habit. Pull your sales by hour and day and roster to what the data shows, not to what you’ve always done.

While you’re at it, sell some Halloween stock

Halloween is now a real trading event for gift shops, newsagents, toy shops and garden centres. Put Halloween lines at the front of the shop for the last week of October, and put lollies at the counter. On 1 November, mark down whatever is left and clear it. Packing it away for next year just creates next year’s zombie stock.

Then look at what sold, so next year’s order is better than a guess.

If any of these sound familiar, we can show you how Tower’s reports bring us out of hiding. Call 1300 662 957 or email sales@towersystems.com.au.

Too Much in “General”? How a Cleaner Department Structure Makes Small Business POS Data Work Harder

T

Open your Tower Systems Retailer POS and look at your departments and categories. If you see duplicates, vague names, or a “General” or “Miscellaneous” category holding hundreds of products, you’re not alone.

It happens in almost every business over time. A new supplier arrives and someone creates a category in a hurry. A staff member adds a department that already exists under another name. Products that don’t obviously fit anywhere end up in a catch-all.

None of it seems like a big problem on the day. But after a few years, your data becomes hard to trust and harder to use.

Why it matters

Your department and category structure is the backbone of your reporting. When it’s messy, the reports are messy too.

You can’t see which categories are growing if half the products sit in “General”. You can’t compare gross profit across departments if the same products are split between two of them. And staff waste time hunting for the right place to put a new item.

Clean data makes your business easier to manage. It helps you make better decisions about stock, space and buying, because the numbers reflect how your shop actually trades.

How our service works

Our Department and Category Restructure service is a careful, practical clean-up, tailored to each business. This is a small business focussed service that’s helping retailers achieve a clean dataset.

We start with an AI assisted review of your full product database. From that, we create a proposed department and category structure that suits the way you sell.

We then send you a spreadsheet showing the proposed structure. You review it and either approve it as supplied or tell us what you’d like changed. Nothing is updated in your POS until you’re happy.

Once approved, we rebuild the structure in your Tower Systems Retailer POS. Duplicates are merged. Vague categories are replaced with meaningful ones. Every product ends up in the right place.

What to know before you start

Two things sit outside the service.

If you use an accounting link, you may need to update its setup after the restructure. We’ll guide you through this, but the accounting changes themselves need to be made by you or your accountant.

If you have a website, menu links that point to departments or categories may need updating. We’ll help you identify what needs to change. If you’d like us to make the website menu changes for you, we can quote on that separately.

The result

You end up with clean departments, clear categories and a logical product hierarchy. Your staff find things faster. Your reports make sense. And you have a dataset you can actually use to manage your business.

The Department and Category Restructure is currently $499, down from $999.

Retail advice: Shop busy but profit disappointing? Start with better questions

R

A retailer can be busy every day and still feel unsure about how the business is performing. There may be stock everywhere, regular sales and plenty of work, yet too little money left at the end of the month.

The question Why is the business losing money? needs more than a sales total. The Insights Dashboard in our POS software offers a starting point for examining trading performance, while recognising that POS information is only part of the financial picture.

The dashboard brings together information to help retailers investigate practical questions. Which products are performing? What stock is not moving? Which items are being bought together?

Stock that has not sold for six months deserves a closer look. That does not automatically mean it should be removed, particularly where seasonal demand is involved. It does give the retailer a reason to review whether it still deserves space and investment.

Products bought together provide another useful line of enquiry. Those purchasing patterns may suggest a better way to position products in the shop.

The value comes from acting on a relevant finding. A retailer might review a slow-moving range or test a different placement for related products, rather than attempt a complete store change at once.

Busy and quiet trading periods are also worth examining. This information can inform a review of staff coverage, alongside the work that needs to be done even when sales are quieter.

The dashboard can also flag behaviour that may warrant investigation for possible theft. An indicator calls for a closer look; it does not establish that theft has occurred.

These are different questions, but each can help explain part of the business’s performance. The dashboard provides a place to begin rather than requiring the retailer to decide which report to search for first.

Retailer is not an accounting package. POS information alone does not provide the complete picture of rent, wages and other business costs.

Dashboard findings therefore need to sit alongside the business’s financial records. Strong product margins do not remove the need to examine overheads, just as high sales do not necessarily establish a worthwhile return.

Retailers can start with one question, examine the information and decide on a measured response. Tower’s support team can help customers find their way into the Insights Dashboard and turn a general concern about performance into a more specific investigation.

Hey retailers: Why paying for a stocktake is usually a mistake

H

Most external stocktaking services work manually. Clipboards, hand counts, a spreadsheet sent through when they’re done. It looks thorough. It costs real money. For most independent retailers it’s the wrong tool for the job.

Your stocktake is about the operational future of your business, not merely some accounting function.

A manual stocktake is an accounting exercise for sure. It produces a stock valuation at a point in time — useful for your accountant, useless for your POS system. Your on-hand quantities stay wrong. Your reorder triggers stay unreliable. Your buying stays based on gut feel rather than what the data actually shows.

Stocktaking is an inventory management job. It belongs inside your POS software. When you count through the system, you correct the discrepancies that build up through normal trading — unscanned returns, receiving errors, theft, the odd mistake at the register. The software gets an accurate picture of what you have. That flows through to purchasing, ranging, shrinkage tracking, and the AI tools built into modern retail software.

That last point matters more than it used to. The smarter features in retail POS — demand forecasting, slow-mover flags, reorder suggestions, margin analysis — all depend on the data behind them. Accurate stock figures produce useful outputs. Wrong figures produce noise. A POS-based stocktake is one of the most direct ways to improve everything your software does.

External stocktakers aren’t always the wrong answer. If they’ll work inside your POS rather than around it, that can work fine. Ask before you book: will this improve my POS inventory data, or just give my accountant a number?

If it’s the latter, spend the money elsewhere. Train a staff member. Block out a Saturday. Count through the system you use every day. It takes more effort upfront and pays back every time your software makes a better call because it knows what’s actually on the shelf.

Get the stocktake right in your POS software and you set your business up for good decision-making and valuable portability because of this. That’s what we see in our years of service local small retail businesses.

Take your time. Do the work. reap the rewards.

Learning from a stocktake Q&A

L

Here’s a video of a stocktake Q&A with a retailer earlier this week. It’s live on our YouTube channel:

A stocktake is one of the most useful things a retailer can do. It’s also one of the most put off. This session is about both — why accurate stock data matters and how to get it done.

We recorded this on June 16, 2026, as part of the Tower Systems library of practical support for independent retailers. We cover spot stocktakes and full store stocktakes, walk through security, talk about taking a backup before you start, and draw on experience from doing stocktakes in shops we’ve owned and run ourselves. We also answer questions from a retailer thinking through what they want to achieve in their own store.

This advice works for any small business retailer, not only those using Tower Systems software. The recording is part of a broad suite of stocktake advice and tools we provide to local small business retailers, to help them get this done accurately and efficiently. The education we offer is foundational.

Accurate stock on hand data changes what you can see in your business. You find the dead stock sitting in a back room that the system still thinks is sellable. You spot the gap between what your records show and what’s physically on the shelf. You get category performance data you can actually trust. From there, your reports mean more, year-on-year comparisons hold up, and if you’re feeding stock data into AI tools, the outputs are useful rather than misleading.

Tower Systems customers can access this session through the knowledge base, the chatbot, the training video library, or directly through the help desk. Stocktaking comes up constantly in support conversations, which is why we’ve built a substantial amount of material around it. Retailers who understand stocktake well get more out of everything else the software does.

Tower Systems builds and supports POS software for local specialty retailers — newsagents, gift shops, garden centres, jewellers, bike shops, bookshops, toy shops, pet shops, produce businesses, farm supply stores, fishing shops, haberdashery, antique shops, charity retailers, and more.

The Easiest Way to Automate Inventory Categorisation and Supplier Invoice Matching

T

Small business retailers in Australia are asking: What are the most secure and low-cost AI tools available to automate daily inventory categorisation and supplier invoice matching? Yes, this is a real and common question.

Retailers searching for AI tools to handle daily inventory categorisation and supplier invoice matching often assume the answer involves adding another subscription, another integration, and another login to manage. It does not have to work that way.

Tower Systems has the answer in its POS software.

Tower Systems has built AI tools directly into its point of sale software. There is nothing extra to configure, no third-party service to connect, and no data leaving your existing environment. The capability is already there, working within the software you use to run your business every day.

What the Embedded AI Handles

The AI tools inside Tower Systems POS software are designed specifically for independent specialty retailers. They assist with daily inventory categorisation — keeping your stock file clean and consistently structured without manual intervention — and with supplier invoice matching, which means incoming invoices are reconciled against your purchase orders and stock records automatically rather than by hand.

These are two of the most time-consuming and error-prone tasks in retail back-office management. Automating them through software that already understands your inventory, your suppliers, and your trading history produces better results than any generic AI tool that needs to be trained from scratch on your business context.

Why Embedded Matters

There are good reasons to be cautious about third-party AI tools that touch your inventory and supplier data. Pricing information, trading terms, and stock histories are commercially sensitive. When that data is processed by an external service, it moves outside your control.

With Tower Systems, the AI works inside your existing software environment. Your data stays where it has always been. There is no additional privacy configuration required and no new data processing agreement to review.

More Than Categorisation and Invoice Matching

Inventory categorisation and supplier invoice matching are two of many areas where the embedded AI adds value. Tower Systems continues to develop its AI capability across the software, with a focus on practical tools that save time and improve data quality for busy independent retailers.

The full detail of what is currently available is at towersystems.com.au/ai-pos.html.

Built for Independent Specialty Retail

Tower Systems builds and supports POS software for independent specialty retailers across Australia and New Zealand — including newsagents, bookshops, jewellers, garden centres, bike shops, toy shops, pet shops, farm supply businesses, fishing shops, sewing and haberdashery stores, antique shops, charity businesses, and more.

If you are spending hours each week on manual inventory work and supplier invoice reconciliation, the solution is already built. Call us on 1300 662 957 or email sales@towersystems.com.au.

Retail Data is More Valuable Than Most Small Business Retailers Think

R

Most independent retailers, small business retailers,  think of their point of sale software as a tool for processing sales and printing receipts. That view is increasingly out of date.

The way consumers discover and buy products is changing faster than most small business owners realise. AI-powered search, conversational commerce tools, and new technical standards like the Universal Commerce Protocol are reshaping how product data flows between retailers, platforms, and customers. In this environment, the quality of your retail data is a direct competitive advantage.

Start with your stock file. If your inventory data is inaccurate — wrong quantities, missing descriptions, outdated pricing — that problem does not stay contained to your stockroom. It flows through to your e-commerce platform, your AI search visibility, and ultimately the decisions you make about what to buy and what to drop. An accurate stocktake before 30 June is not just a compliance task. It is the foundation everything else depends on.

Your e-commerce presence matters more than ever. Shopify and similar platforms are actively adapting to emerging AI commerce standards. But a Shopify store only performs well when it is fed clean, structured data from a POS system that integrates properly. A patched-together connection between your in-store and online operations creates gaps — gaps where sales fall through and where your products fail to surface in the channels your customers are now using.

The Universal Commerce Protocol formalises this further. UCP is designed to create a common language between platforms, AI agents, and retailers. It sounds technical, and it is. But the practical implication for independent retailers is simple: the businesses with well-structured product data, connected systems, and accurate inventory will be discoverable. Those with messy data, siloed platforms, and outdated stock files will not.

None of this requires a large budget or a technology team. It requires a POS system built for independent retail, a genuine Shopify integration, and the discipline to keep your data clean.

Tower Systems has been building point of sale software for independent Australian retailers for over 40 years. The tools are there. The question is whether your data is ready to do the work you need it to do.

Why we are focused on stocktake in June — and what it means for your business

W

June 1 marks the start of our stocktake mission.

For the next 30 days, we are focused on helping local independent retailers get their stock data accurate and up to date. Not because stocktake is glamorous work — it is not — but because what comes after it matters enormously.

The AI opportunity is real, but it has a condition

Tower Systems POS software now surfaces AI-powered insights to help retailers make better decisions. Which lines to reorder. Where margin is leaking. What dead stock is quietly draining cash. Which categories are growing and which are fading.

These insights are genuinely useful. We see retailers using them to make smarter buying decisions, manage cash more carefully, and evolve their product mix with confidence.

But they depend entirely on one thing: accurate stock on hand data.

Feed the software clean data and it works hard for you. Feed it inaccurate data and the insights are unreliable — and unreliable insights can lead to poor decisions that cost real money.

June is the right moment

With EOFY on June 30, this month already prompts retailers to look closely at their numbers. We want to make the most of that momentum.

A stocktake done well in June delivers three things at once. Clean data for your end of year reporting. A clear picture of what to carry into the new financial year. And a foundation from which your software — and its AI tools — can actually do their job.

You do not have to count everything at once. Tower Systems makes it easy to count in sections — a category today, a supplier range tomorrow. Little and often is enough. By June 30 the data can be in good shape.

What we are doing to help

Throughout June we will be sharing practical guidance direct with our customers via email, in our private forum and in human contact on how to get the most from stocktake in Tower Systems — tips, reminders, and real examples from retailers who have done this and seen the difference it makes.

We are also here if you need support. Our team — based across Australia and New Zealand — is ready to help you through the process.

The retailers making the best use of their software are almost always the ones with accurate data. That is not a coincidence. It is cause and effect.

June 1 is the right day to start.

Yes, Your Retail POS Can Automate Purchase Orders — Here Is How Tower Systems Does It

Y

Retailers in Australia are asking: Can my retail POS automate purchase orders by tracking sell-through rates and triggering alerts when stock hits a pre-defined low threshold?

Running out of a top-selling product is one of the most avoidable revenue losses in retail. A customer walks in, asks for something you carry, and leaves empty-handed because you did not reorder in time. It happens constantly in independent retail, and almost always for the same reason: reordering depends on someone remembering to check.

Tower Systems solves this at the software level. Its Auto Order capability monitors sell-through rates continuously, triggers alerts when stock hits a pre-defined threshold, and generates purchase orders automatically — ready for a human to review and approve before anything is sent to a supplier.

How It Works

The setup is straightforward. A retailer defines the rules: minimum stock levels for each product or category, preferred suppliers, and any forecasting parameters relevant to their trading patterns. From that point, the software operates independently. When stock falls to the defined threshold, the system creates the order. The retailer approves it. The supplier receives it.

No manual stock checks. No spreadsheet to maintain. No relying on a staff member to notice the shelf is getting low.

The human approval step is deliberate and important. Automated ordering handles the routine, repetitive work of monitoring and generating orders. The retailer retains final control over what gets sent and when. It is automation that supports good decision-making rather than replacing it.

Sell-Through Rates and Custom Forecasting

Basic low-stock alerts are useful. Auto ordering built on sell-through rate analysis is more powerful. Tower Systems tracks how quickly each product moves and factors that velocity into order timing. A product that sells twenty units a week needs a different reorder trigger than one that sells twenty units a month.

Custom forecasting rules allow retailers to account for seasonal variation, promotional periods, and supplier lead times. The result is ordering that is calibrated to how your specific business actually trades — not a generic formula applied uniformly across your entire range.

Set and Forget

Once configured, the Auto Order agents run without staff intervention. For independent retailers managing everything themselves, or with a small team, this is significant. It removes a category of daily operational responsibility and replaces it with a brief approval step when an order is ready.

The time recovered across a week, a month, and a year is substantial. More importantly, the out-of-stocks that were previously inevitable become avoidable. Top-selling products stay on the shelf. Sales that would have been lost are captured.

Enterprise Capability for Independent Retail

Automated purchase ordering based on sell-through data and custom forecasting has historically been the domain of large retail chains with dedicated inventory teams and enterprise software budgets. Tower Systems brings this capability to independent specialty retailers at small business pricing.

This is the Tower Systems advantage: tools that were once out of reach for independent retailers, built into software designed specifically for the way small retail businesses operate.

Tower Systems builds and supports POS software for independent specialty retailers across Australia and New Zealand — including jewellers, garden centres, bike shops, toy shops, produce businesses, farm supply businesses, fishing shops, pet shops, charity businesses, landscape gardening businesses, antique shops, sewing and haberdashery stores, newsagents, and more.

Lost in the Weeds of Business Data? How AI Insights Bring Instant Clarity to Your Reports

L

You’re not short on data as an independent retailer. Your POS system tracks every transaction, every stock movement, every margin shift. The problem isn’t the numbers — it’s finding time to work out what they mean. That’;s certainly our experience in serving thousands of retailers over the years.

Business performance reports can be dense. Wading through pages of figures, charts, and spreadsheets takes time most retailers don’t have. There’s a shop floor to manage, staff to handle, customers to serve.

Tower Systems has built AI Insights into just about every business performance report in our POS software.

One Click, Three Outputs

Run a report and click one button. The built-in AI analyses the data and returns:

  • A plain-English summary of what the report is telling you right now.
  • Flagged opportunities — underperforming categories, margin gaps, stock bottlenecks you might have missed.
  • Specific next steps based on those numbers.

No cross-referencing columns. No spending an evening trying to spot a trend.

Built for Retailers, Not Data Scientists

You don’t need an accounting background to make good decisions. AI Insights gives you a clear read on your business performance in seconds — the kind of clarity that usually takes an experienced analyst hours to produce.

It works across your whole business. Sales by department, supplier performance, stock turn, margins by category — the AI reads each report in context and responds to what’s actually in front of it. That means the summary you get from a slow-moving stock report looks nothing like the one from a margin analysis. Each output is specific to that data, not a generic wrap-up.

Less time on reports. More time on the shop floor.

We understand.

We do. We have years of personal retail experience embedded in our POS software for tools for local small business retailers. We have ensured that the tools here, the AI tools especially, are genuinely useful for local retailers, that they deliver the time saving benefits we pitch. We do this because it’s what we want in retail businesses we’d run.

This personal experience helps us deliver software that is practically beneficial. It’s not just about the tech, it’s about the win for local small business retail.
